Here is a detailed guide on how to create a student profile in easy.school, step by step:
Accessing the Student Profile Creation Feature
The coordinator can access the functionality in two ways:
- From the Dashboard:
- Click the “+” button in the “Students” box.
- From the Left Menu:
- Select “Students” > “Student List”.
- Click the light blue button at the top right “+ New”.
Step 1 – Student Profile
On the initial screen, several fields will be displayed to fill out. Mandatory fields are marked with an asterisk (*).
Fields to Fill Out:
- Photo
- First Name (mandatory)
- Last Name (mandatory)
- Country of Birth
- Citizenship
- Date of Birth
- Gender
- City of Birth
- Province
- Tax Code
- Residential Address
- Country, City, and ZIP Code
- Notes
Note: If custom fields have been configured, these will be shown after the “Notes” field.
Action:
- Click on “Next” (light blue button at the top right) to proceed to the next step.
Step 2 – Family Profile
Here you manage the association of the family member to the student.
Available Options:
- Association of an existing family member:
If the family member is already in the archive (for example, for siblings in the same institution), click on the box with the arrow “Associate an existing family member”.
- Adding a new family member:
If the family member is not present, select the correct role (Mother, Father, Grandparent, Uncle, etc.) and fill out the following fields:
Fields to Fill Out:
- Photo
- First Name (mandatory)
- Last Name (mandatory)
- Permissions
- Password:
Once the password is created, a select will appear: setting it to green will allow sending the password via email.
- Mobile/Phone
- Country, Citizenship, Date, City, Province of Birth, Tax Code
- PEC and SDI code
- Default invoice recipient (select)
- Send invoices in copy (select)
- Start of form
- End of form
- Fields for invoice header
- Default Adult for Supplies (select, if you want to set this family member as default)
- Default for variables (used for billing)
Action:
- Click on “Next” (light blue button at the top right) to proceed.
Step 3 – Section
On this page, you will associate the student with a specific section.
Action:
- Select the appropriate section from the available list.
- Click on “Next” (light blue button at the top right) to move to the next step.
Step 4 – Health Information
Here you can enter all the information regarding the student’s health status.
Fields to Fill Out:
- Pediatrician
- Food allergies and intolerances
- Vaccinations received
Action:
- Once all fields are filled out, click on “Save” (green button at the top right) to complete the creation of the student profile.
Review Options
- Edit: If it is necessary to review or correct any information, click the “Back” button to return to the previous steps.
- Cancel: To cancel the creation of the profile, click the red “Cancel” button.
By following these steps, the coordinator will be able to register a new student profile completely and orderly, ensuring that all necessary information (personal data, family data, section assignment, and health information) is correctly entered into the system.
