How to Add Custom Fields to Student, Family, or Staff Profiles

  1. Access the custom fields settings
    • Log in with the coordinator account and enter the desired school.
    • From the menu, select “Settings” and then “Custom Fields”.
  2. Create a new custom field
    • On the custom fields screen, click the “+ New” button at the top right.
    • A screen will open with the following fields:
    • Name: Enter the name of the field you want to create (for example: Diet).
    • Profile: Select where to add the field:
      • Student Profile.
      • Family Profile.
      • Staff Profile.
    • Example: By selecting Students, the field will be added to the student profile.
    • Values: Enter the values that will be selectable in this field. For example, for Diet, you can enter:
      • Vegetarian.
      • Gluten-free.
      • Celiac.
    • Press Enter after each term to confirm it.
    • You can enter a maximum of five values.
    • Visibility options:
      • Visible to staff: Makes the field visible to staff.
      • Visible to parents: Makes the field visible to parents in the student or family profile.
      • Visible in pre-enrollments: Makes the field available in the pre-enrollment form.
    • Select the options you prefer based on your needs.
  3. Save the new field
    • Click on “Save”.
    • The new custom field will be visible in the list of custom fields.
  4. Edit or delete a custom field
    • In the list of custom fields, find the created field.
    • To edit it, click on the light blue pencil icon.
    • To delete it, click on the red trash can icon.
  5. Verify the implementation of the field
    • Go to the Student, Family, or Staff profile (depending on the selection made during the field creation).
    • Edit a profile and check that the new field (for example Diet) is present at the bottom.
    • Select one of the defined values and click on “Save”.
  6. Use the field in advanced searches
    • Access the “Student List” page.
    • Open the “Advanced Search” filter.
    • You will find the new custom field among the filters.
    • Example: If the field is Diet with values Vegetarian, Gluten-free, Celiac, selecting Celiac will show the list of students with that associated value.
