To create an event, after logging into the Browser:
1. Click on the fourth icon in the top right “Events”, then on “Create an Event”.
Step 1 – Basic Event Data
A screen will open with the following fields to fill out:
• Event Name – Enter the name of the event.
• Event Description – Enter a brief description of what the event is about and any other indications.
• Attachments – By clicking on the paperclip icon, you can attach files.
• Visible and Editable by – Select from the dropdown menu who can see and edit the event.
Step 2 - Set Date and Time
In this section, you can set the following fields:
• All Day Event – If activated, the fields related to start and end time will be disabled.
• Event Start – The day you want the event to start.
• Event End – The day you want the event to end.
• Event Start Time – Event start time.
• Event End Time – Event end time.
• Repeat Event – Select if and how often to repeat the event.
• Set Event Reminder – Three selects will allow you to choose to send a reminder via email (same day, day before, week before).
Step 3 - Make the Event Visible to Others
• By setting the select “Do you want to make the event visible to others” to green, you will make the event visible and it will be possible to create slots for booking.
Step 4 - Create Slots
• By activating the select “Allow Bookings” to green, you can create slots for booking for the event.
• Maximum bookings per slot – Enter the maximum number of bookings per slot (for a single booking, enter one, zero if you want there to be no limit).
• Type of Booking – Select the duration of each slot.
• Break between bookings – Set the break time between one slot and another.
• Set Event Reminder – Three selects will allow you to choose whether to send a reminder via email.
Step 5 - Summary Screen
By clicking the “Next” button, you will see:
• The week in which the event was entered.
• The day of the event creation with the various slots.
• To delete a slot, click on the “X” inside the blue button of the slot.
Click again on the “Next” button in the top right to proceed.
Step 6 - Select Event Recipients
• A screen will open with the list of all staff and students to whom to send the event.
• To select a recipient, click on the corresponding box; if the border turns green, the recipient has been selected.
In each box, you will find:
• Photo, First Name and Last Name of the recipient.
• Department Section.
Event Creation
To finalize, click the green button in the top right “Save”.
